These Terms & Conditions apply to all Lightbody Pilgrimages operated by Lightbody Jewellery ("Lightbody", "we", "us", "our"). By booking a pilgrimage, participants agree to these Terms & Conditions.
1. Participation
Participants must be at least 18 years of age unless accompanied by a parent or legal guardian and approved by Lightbody prior to the event.
Participants are responsible for ensuring they are physically capable of participating in the pilgrimage.
Lightbody reserves the right to refuse participation where a participant's condition, behaviour, or circumstances may create a safety risk to themselves or others.
2. Health & Medical Conditions
Participants must disclose any relevant medical conditions, injuries, allergies, mobility limitations, dietary requirements, or other circumstances that may affect their participation.
Participants are responsible for carrying any required medication, including but not limited to inhalers, EpiPens, or prescribed medicines.
Failure to disclose relevant medical information may affect our ability to provide assistance during the pilgrimage.
3. Nature of the Experience
Lightbody Pilgrimages take place in outdoor natural environments.
Participants acknowledge that outdoor environments involve inherent risks including, but not limited to:
- Uneven terrain
- Slips, trips, and falls
- Exposure to weather conditions
- Natural hazards
- Wildlife and insects
- Changes in environmental conditions
- Travel to and from locations
Participants agree to take reasonable care for their own safety and to follow all lawful instructions provided by Lightbody during the experience.
4. Participant Responsibility
Participants are expected to:
- Act respectfully toward other participants
- Respect the natural environment
- Follow safety instructions
- Behave in a manner that does not place themselves or others at risk
Lightbody reserves the right to remove any participant whose behaviour is unsafe, disruptive, abusive, or inappropriate.
No refund will be provided in such circumstances.
5. Alcohol & Drugs
Participants must not attend under the influence of alcohol or illegal drugs.
Lightbody reserves the right to refuse participation to any person who appears impaired.
No refund will be provided where participation is refused for this reason.
6. Weather Conditions
Pilgrimages operate in most weather conditions.
Participants are responsible for bringing appropriate clothing, footwear, and equipment suitable for the conditions.
Where severe weather, natural events, safety concerns, or circumstances beyond our control make the pilgrimage unsafe, Lightbody reserves the right to postpone, modify, relocate, or cancel the experience.
Where possible, participants will be offered:
- Transfer to a future pilgrimage; or
- A refund at Lightbody's discretion.
7. Booking & Payment
Full payment is required to secure a place unless otherwise agreed.
Bookings are not confirmed until payment has been received.
Places are limited and allocated on a first-paid basis.
8. Participant Cancellation
If a participant cancels:
More than 30 days before the pilgrimage:
- Full refund less any non-refundable booking fees.
14–30 days before:
- 50% refund.
Less than 14 days before:
- No refund.
Participants may request a transfer to another available pilgrimage, subject to availability and approval.
9. Cancellation By Lightbody
Lightbody reserves the right to cancel, postpone, modify, or reschedule any pilgrimage due to:
- Severe weather
- Natural events
- Safety concerns
- Insufficient participant numbers
- Illness
- Circumstances beyond our reasonable control
In these circumstances participants will be offered either:
- Transfer to a future pilgrimage; or
- A refund of monies paid.
Lightbody shall not be responsible for any accommodation, transport, leave, or other costs incurred by participants.
10. Mystery Locations
Participants acknowledge that specific pilgrimage locations may remain undisclosed prior to the event.
Meeting point details and relevant information will be provided before departure.
Lightbody will provide sufficient information to allow participants to determine whether the pilgrimage is suitable for their circumstances.
11. Photography & Media
Lightbody may photograph or record portions of the pilgrimage for promotional, educational, or archival purposes.
By participating, participants grant permission for photographs and recordings in which they may appear to be used by Lightbody.
Participants who do not wish to appear in photographs or recordings must notify Lightbody before the pilgrimage begins.
We will make reasonable efforts to accommodate such requests.
12. Transport
Where transport is provided, participants must comply with all vehicle safety requirements and instructions.
Participants are responsible for arriving at the designated meeting point on time.
Lightbody is not responsible for missed departures caused by late arrival.
13. Personal Property
Participants are responsible for their own belongings.
Lightbody accepts no responsibility for lost, stolen, or damaged personal property.
14. Limitation of Liability
Nothing in these Terms & Conditions excludes or limits any rights or remedies that cannot be excluded under New Zealand law.
To the fullest extent permitted by law, participants acknowledge that participation in outdoor activities involves inherent risks and accept responsibility for their decision to participate.
Lightbody shall not be liable for losses arising from events outside its reasonable control.
15. Privacy
Personal information collected during booking will be used for the administration of the pilgrimage, participant safety, communication, and related business purposes.
Information will be handled in accordance with applicable New Zealand privacy laws.
